Let’s Talk

AI receptionist and CRM for tradies

More booked jobs. Less chasing.

Think of it as an AI receptionist and admin person who never clocks off. Missed calls get a text back, every enquiry gets a reply in under a minute, every quote gets chased and every finished job gets a Google review request. It all sits in your own app. You call, quote and do the work.

What you get

Everything between the enquiry and the review.

No new software to learn. We set it up, write the messages in your voice and keep it running.

  • Your own app, with every lead in it. Facebook forms, website enquiries, calls and referrals all land in one app on your phone: who they are, what they want, every message and where they’re up to.
  • Missed calls texted back. On the tools and can’t answer? The caller gets a text from your business straight away, so they don’t ring the next tradie on the list.
  • An instant reply, 24/7. Every enquiry gets a text from your business in under a minute, day or night, so you’re first to respond.
  • Questions asked for you. The customer is asked what you need to know before you call: the job, the size, the suburb, the timing. You get an alert with a summary when they’re ready for a quote.
  • Quote follow-ups. Quotes with no answer get followed up automatically until the customer replies, so nothing goes cold because you were busy.
  • Booking confirmations and reminders. A confirmation when the job is booked and a reminder before you arrive.
  • Google review requests. Sent once you mark the job done, with a gentle reminder. Nothing goes out before you tap.
  • Referral asks. A follow-up later on, asking happy customers to pass your name on.
  • A monthly report. Leads, cost per lead and jobs won, on one page. If we run your ads too, you see which ads brought the jobs.

Your app

Every lead in your pocket.

You get your own app with every lead’s details in one place, so you’re not digging through texts, emails and Facebook messages to work out who’s who.

Without it

Random numbers texting you at 11:30 at night, asking if you’re still coming to quote their job tomorrow morning. Job details spread across texts, emails, Facebook messages and the back of an invoice book. You can’t remember who you quoted, who said yes, or who you promised to call back.

With your own app

Every lead has a card with their name, number, the job, the suburb, their answers and every message sent. You can see who’s waiting on a quote, who’s booked and who needs a call. Customers get confirmations and reminders automatically, so they’re not texting you late at night to check.

One app on your phone. Everything about every job, where you can find it.

Who we help

Built for businesses that win work by quoting.

Trades and home services

Builders, electricians, plumbers, landscapers, flooring and epoxy businesses. You’re on the tools all day, enquiries arrive while you can’t answer, and by the time you call back they’ve found someone else. This fixes that.

Clinics and local services

Physios, dentists, cleaners and other businesses where people enquire, book and come back. Faster replies, fewer no-shows and a steady flow of reviews.

Anyone sending quotes

If you send quotes and wait, a share of those jobs is lost to silence, not to price. Automatic follow-ups win back the ones that just needed a nudge.

How it works

From enquiry to five stars.

Four steps, from the first enquiry to a five-star review. You only touch the ones that need you.

  1. New lead
  2. Qualifying
  3. Quote ready
  4. Quote sent
  5. Job booked
  6. Completed

A lead comes in

Wherever someone enquires, they land in the same place and get a text from your business straight away. Automated questions gather what you need, and follow up if they go quiet.

You see everything in one place

Every lead is a card that moves across a board, from new lead to completed. The early stages move by themselves. You always know who to call next.

You book the quote

When a lead has given you the details, you get an alert with a summary of the job. You call and lock in a time. If you keep your calendar up to date, customers can book their own quote visit.

Quote, job and review

Move a lead to “Quote sent” and follow-ups go out until they reply. “Yes” books the job with a confirmation and a reminder. One tap when it’s done sends the review request.

Your job: call, quote and do the work. The system does the chasing.

How we roll it out

Live in four weeks.

Month to month, no lock-in. Your contacts, conversations and data stay yours.

  1. Step One

    Map

We map every place your enquiries come from, how you handle them now and where they stall.

    Week 1
  2. Step Two

    Build

The lead system, the messages in your voice and the dashboard, tested end to end before anything goes live.

    Weeks 2–3
  3. Step Three

    Launch

It goes live, and you get a 15-minute walkthrough of the app on your phone.

    Week 4
  4. Step Four

    Tune

Follow-ups and messages fine-tuned from real replies, review requests switched on, and a monthly report.

    Ongoing

Why it pays

Speed wins jobs.

Most service businesses don’t need more leads first. They need to stop losing the ones they already pay for.

21×more likely to qualify a lead when you reply within 5 minutes than after 30 minutes (InsideSales and MIT lead response study)

2 jobsextra a month when 40 leads a month close at 15% instead of 10%. At a $3,500 job, that’s $7,000

CRM and lead nurture questions we get.

Is this an AI receptionist?

In a way. Like an AI or virtual receptionist, it does the job of a receptionist and admin person: it replies to every enquiry by text in under a minute, asks the questions you need answered, chases quotes and sends reminders, day and night. It doesn’t answer phone calls with a voice. Missed calls get a text back instead, and you call when you’re ready.

What is a CRM?

It’s a CRM for small business, set up for how tradies work: your own app that holds every enquiry, who they are, what they want and where they’re up to. It updates itself as leads move along, so you’re not copying details between texts, emails and notebooks.

Will the messages sound like a robot?

No. They’re written in your voice and sent from your business name, and you approve every message before anything goes live. Customers reply to you like they would to any text.

Do I have to change the job software I use now?

Not usually. We work around how you run jobs today, and connect the tools you already use where they allow it, like Xero.

Is automated texting allowed?

Yes, when it’s set up properly. Replying to someone who has enquired is fine. Marketing messages need the customer’s consent, your business name and an easy way to opt out under Australia’s Spam Act, and we build that in from day one.

Do I need to be running ads?

No. It works for leads from anywhere: your website, Google, calls and referrals. If we also run your ads, the report shows which ads brought in the jobs.

How long does it take to set up?

About four weeks from the first call to going live, including testing and a walkthrough. Review requests and fine-tuning follow in the first few months.

Is there a lock-in contract?

No. We work month to month.

Do it yourself

Where leads leak. Check yours today.

You don’t need new software to plug the biggest leaks. Start with these six checks this week.

  1. 01

    Time your own reply

Fill in your own website form and your Facebook lead form, then time how long it takes for you to reply. If it’s more than five minutes, you’re losing some of those people to whoever replies first.

  2. 02

    Set up an instant reply

Turn on an automatic reply for every enquiry channel you can. In Meta Business Suite, open Inbox, then Automations, and switch on Instant reply. On your website form, send an automatic confirmation that says when you’ll call.

  3. 03

Keep every lead in one list

A simple spreadsheet works: name, phone, what they want, where they found you, the date and where they’re up to. Most job apps have a leads or enquiries stage too. If leads live in five places, some will be forgotten.

  4. 04

    Follow up every quote twice

A quote with no reply isn’t a no. Set two reminders when you send it, one for two days later and one for a week later, and send a short, friendly check-in each time.

  5. 05

    Text missed calls back

If you can’t answer on the tools, text every missed call back within the hour, even if it’s just “On a job, I’ll call you at 3“. A caller who gets a reply is far less likely to ring the next business on the list.

  6. 06

Ask for the review on the day

In your Google Business Profile, use “Ask for reviews” to get your direct review link. Text it to the customer when the job is finished, while they’re happiest with the work.

If you’d rather we checked, the free audit maps how your leads are handled now and shows the three biggest leaks.
